QR-to-PDF Medical Workflow

The Problem

During a visit to the practice, I watched the intake process. Patients filled out paper anamnesis forms. Staff scanned them. The handwriting was often illegible. The whole workflow was slow, wasteful, and frustrating for everyone involved.

Healthcare agencies sell "digital intake solutions" for thousands of euros. But the problem isn't complex—it's just tedious analog friction.

The Solution

I built a GDPR-compliant digital form using the website's existing tech stack. Patients scan a QR code in the waiting room (or receive a link via SMS). They fill out the form on their phone. The system captures their signature via HTML5 Canvas, generates a medical-grade PDF server-side using @react-pdf/renderer, and emails it to reception.

Staff can import the PDF into Thevea (the practice software) with a few clicks. No scanning. No deciphering handwriting. No wasted paper.

The Impact

We eliminated the clipboard queue. Patients appreciate the streamlined process. Reception staff file records instantly instead of spending 10 minutes per patient transcribing illegible forms.

Cost to implement: $0 (beyond my time).
Cost if we'd hired an agency: €5,000–€8,000.
